Privacy Policy

Your videos, captions and API keys stay on your computer. Here is exactly what we collect, why, and for how long.

1. What never reaches us

This matters more than anything else on this page, so it comes first.

  • Your videos. Captixa is a desktop app. Your footage is read from where it already is on your computer, and projects point to it rather than copying it. It is never uploaded to us.
  • Your audio and captions. When you use a cloud AI provider, the audio or caption text goes straight from your computer to that provider (see section 2). It never passes through us.
  • Your API keys. Groq, OpenAI and Gemini keys are stored on your computer only and used to call those providers directly. They are never sent to us.
  • Your projects and exports. Styling, editing, preview and export all happen on your computer. We receive none of it.

2. When you use an AI provider

You choose which AI providers Captixa uses, and with your own key. Here is exactly what goes where:

Each provider handles what you send it under its own privacy policy and terms, not ours. We are not part of that exchange. If you want nothing to leave your computer, transcribe with local Whisper and skip translation.

3. What we do collect

Usage counts from the app (Free and Pro)

Each time Captixa finishes a transcription or an export, it tells us that it happened. This is how we know how the Free plan is used and which features people rely on. Each report contains:

  • Whether it was a transcription or an export, the length of the video in seconds, and when it happened.
  • A device ID generated by the app, a device name made from your computer's user name and computer name, the Captixa version, and your operating system and processor type.
  • On Pro, your license key, so the count is attributed to your license.

It never includes your video, audio, captions, file names or API keys. The Free plan's limits are still enforced inside the app; these counts are not needed for Captixa to work. You can switch them off at any time in Settings → Privacy → Share usage counts, and anything not yet sent is deleted.

If you create an account or buy Pro

  • Your name and email address.
  • Your password, stored only as a one-way hash. We cannot read it.
  • A record of your purchases: which plan, when, how much, and the payment reference.

We never see or store your card details. Payments are handled by our payment processor; we only receive a confirmation and a reference.

If you activate a Pro license

When Captixa activates or checks your license, it sends us:

  • Your license key.
  • A device ID generated by the app, and a device name made from your computer's user name and computer name (for example "Alex's DESKTOP-1234").
  • The Captixa version, and your operating system and processor type (for example "windows x86_64").

This is how the one-computer-at-a-time rule works, and how you can free up your license when you switch computers. Pro keeps working offline for up to 7 days between checks.

If you contact us

  • Your name, email, topic and message.
  • Your IP address and browser user-agent, saved with the message so we can limit how many messages can be sent.

4. Why we keep it

Account and purchase data lets you log in, receive your license and get a refund where the refund policy allows one. License and device data make the Pro plan rules work. Support data lets us answer you. We do not sell any of it, and we do not use it to build advertising profiles.

5. This website

This website may load Google Analytics and a Meta (Facebook) pixel to tell us how many people visit and which pages they read. They run on this website only, never inside the app, and you can block them with any content blocker without breaking the site.

If you arrive through an affiliate link, we set a cookie so the person who referred you gets credit if you buy. It stores a referral code, not your identity.

6. Who else sees it

Only the services we need to run the business:

  • Our payment processor, to take payments and issue refunds.
  • Our email provider, to send license keys, receipts and replies.
  • Our hosting provider, which stores the database this data lives in.
  • Analytics providers, as described above, for website traffic only.

We will also share information when the law requires it. Because we hold no copy of your videos, audio or captions, we have none of that to share.

7. How long we keep it

  • Account and license data: for as long as your account exists.
  • Purchase records: as long as tax and accounting rules require, usually several years.
  • Support messages: up to two years, so we have context if you write again.
  • Device records: until the device is deactivated, plus a short period afterwards.
  • Usage counts: individual reports for 60 days; after that only daily totals per device are kept.

8. Your rights

You can ask us to:

  • Send you a copy of the data we hold about you.
  • Correct anything that is wrong.
  • Delete your account and personal data. Purchase records we must keep by law are kept, but separated from your profile.
  • Stop sending you anything other than essential emails, like license keys and receipts.

9. Children

Captixa is not meant for children under 13, and we do not knowingly collect their personal information. If you think a child has given us data, tell us and we will delete it.

10. Changes to this policy

If we change what we collect, we will update this page and the date at the top. If a change is significant for account holders, we will also email you.
